Proposed changes to Summit Greens Rules & Regulations

 

To become effective September 1, 2007 – APPROVED BY BOD 8/23/07

 

On Page 2: (add in)

(Add in under the Use of Recreational Facilities section):

The Ballroom cannot be rented out.  Private parties are not permitted in the clubhouse.

 

On Page 5: (add in)

(Add in under the Swimming Pool and Spa Rules section):

20.    No grilling at clubhouse except for Activities Office-sponsored events.  No grilling under the lanai.

 

On Page 6 (add in):

Library / 19th Hole Rules

  1. No private parties.  Friday Socials are opportunities for residents to celebrate special days (i.e. birthdays, etc.) by bringing food/beverages to the gathering for anyone in attendance to enjoy.

 

On Page 8 (add in):

9.      If an Activities Council member leaves prior to one year, replacement will be chosen via a selection committee of Board members as designated by the President of the BOD.

10.  Any event run by the Activities Council must have at least 2 members overseeing the clean up and inspection of the ballroom at the end of the event.   

11.  No Officer of a Satellite Club may be on the Activities Council, effective January 1, 2008.      This has been rescinded.

(Under Clean up after the party):

o       The Social Director or an Activities Council member is responsible to check the pre-event conditions of the venue and the after-event conditions of the venue. 

 

·       A member of a Cast, Stagehand, or Dealer for an event is not required to purchase a ticket to that event.

·       Linens must be returned washed, dried, and folded within a day or two of the event. 

 

On Page 13: (Add in):

(Under Clubs Financial Policies/Procedures – Add on to #3 – g.)

g.       A Balance Sheet and a Revenue & Expense Statement (P & L) will be posted on the bulletin board no later than the 20th of the month following the end of the quarter for the Activities Fund as well as all Satellite Clubs that use SGRA’s Federal ID number.

 

(Revised, under number 4:  Capital Expenditures):

a.       Requests for monies to purchase items to enhance the recreational and social environment will be submitted to the AD, to be presented to the AC.

b.      The AC and AD must approve all capital expenditures and will make the recommendation to the Board of Directors.  The AD can put it to a vote within the entire Activities Council, and the Activities Director has final approval regarding recommendations to the Board of Directors.

(Under the Closing Out an Event/Job section):

·       Events/Jobs will be closed out 45 days after the event with the exception of events in December.

Fundraisers:  SGRAINC will support one fundraiser per year in the Ballroom only for an outside request.

Add to #4:

  1. An additional $20 setup fee will be charged for each of the following:
    1. Clubhouse plants are moved by staff into/out of the ballroom
    2. Carpet is taped down on the dance floor for an event
    3. Tape not removed from windows and/or chandeliers after taking down decorations.
